This role is ideal for someone who enjoys multitasking, staying organized, and helping a business operateefficiently behind the scenes. Trades industry experience is considered a major asset. Key Responsibilities Administrative & Office Duties - Manage incoming emails, calls, and client inquiries - Organize company files, digital paperwork, and job records - Prepare and send standardized emails and client communications - Assist with end-of-day, end-of-week, and end-of-month task tracking - Coordinate approvals and follow-ups with management - Maintain calendars, reminders, and scheduling updates Scheduling & Operations - Schedule jobs, inspections, and appointments - Coordinate with electricians, suppliers, engineers, and sales representatives - Handle daily schedule changes and dispatch adjustments - Assist with Toronto Hydro disconnections and ESA inspection bookings - Track project progress and ensure information is properly communicated Accounting & Business Support - Assist with QuickBooks entries and transaction organization - Support invoicing, accounts receivable, and accounts payable tasks - Help maintain internal P&L; tracking and reporting systems - Organize receipts, expenses, and supporting documentation Marketing & Client Relations - Send follow-up emails and intake forms to prospective clients - Assist with marketing campaigns and outreach during slower periods - Help manage customer databases and business communications - Respond to online reviews and maintain professional client communication - Coordinate with external marketing companies when required Skills & Qualifications We are looking for someone who: - Is highly organized and detail-oriented - Communicates professionally and confidently - Is comfortable handling multiple tasks simultaneously - Works well independently without constant supervision - Is dependable, motivated, and solution-focused - Learns quickly and adapts in a fast-paced environment - Has strong computer and administrative skills - Has experience with QuickBooks or similar software (preferred) - Has experience in construction, trades, or service-based businesses (preferred) - Has solid customer service and phone communication skills Ideal Candidate This role may be a great fit for someone who has experience as: - Office Administrator - Executive Assistant - Service Coordinator - Dispatch Coordinator - Construction Administrator - Trades Office Manager - Operations Assistant If you are the type of person who enjoys organization, communication, problem-solving, and helping a business grow, we would like to hear from you.
