Description
We are seeking a highly organized and detail-oriented Accounting & Operations Coordinator to support the day-to-day financial and administrative operations of Ovation Projects Ltd.. This role is heavily focused on accounts receivable and accounts payable management, while also assisting with project coordination, documentation, and operational support across commercial construction and tenant improvement projects. Key Responsibilities - Manage accounts receivable and accounts payable processes - Prepare and issue client invoices and follow up on outstanding payments - Review, process, and coordinate vendor invoices and payments - Track project costs, budgets, and purchase orders - Organize and maintain project financial records and documentation - Assist with preparing, saving, and organizing quotations, estimates, and project documentation - Draft and coordinate client contracts, subcontract agreements, and trade documentation - Assist with building permit applications, submissions, and municipal follow-ups - Coordinate with clients, consultants, trades, suppliers, and municipalities regarding project documentation and outstanding items - Support project managers with administrative and operational tasks - Maintain organized digital filing systems and project records - Assist with scheduling, follow-ups, and general office administration as required Ideal Qualifications - Experience with bookkeeping, accounting administration, or project accounting - Strong understanding of accounts payable, accounts receivable, and invoicing workflows - Experience in construction, tenant improvements, or project management environments is an asset - Proficiency with QuickBooks Online, Microsoft Office, and cloud-based document systems - Strong organizational skills with high attention to detail - Ability to manage multiple projects and deadlines simultaneously - Professional communication skills and strong follow-up abilities - Experience with permit applications, contracts, or construction documentation is an asset Pay: $22.00-$30.00 per hour Advantages - Casual dress - Dental care - Extended health care - Paid time off Work Location: In person Apply on Kit Job: kitjob.ca/job/2pczym
