The Beaty Biodiversity Museum, part of UBC's Beaty Biodiversity Centre, houses over 2.1 million natural history specimens, presents educational programmes and exhibits, and includes a teaching lab, auditorium, and museum store. The Museum serves as a major public outreach focus for the Faculty of Science, attracting in excess of 50,000 visitors per year. Responsibilities Strategic Leadership Chair the Strategic Planning Committee and lead the annual operational planning cycle. Oversee the development of institutional priorities and policies; present recommendations to the Director for approval. Collaborate with the Director to develop strategies to reach the Museum's short‑ and long‑term operational goals. Develop business/financial plans to support specific operational initiatives. Ensure institutional targets are met in partnership with the Director and staff. Operational Management Provide operational guidance to faculty and staff on all administrative, human resources, and financial matters. Oversee general administration of all museum collections and functions, including teaching & learning, exhibitions, visitor services, marketing, communications & special events, and cross‑collections care; directly supervise approximately 15 staff across these functions. Co‑ordinate with Faculty Collection Directors to align collections staff activities with strategic and operational plans. Meet regularly with Managers and Collections Curators to provide operational guidance and alignment. Coordinate project management and administration for all special projects, monitoring budgets and timelines, negotiating and preparing contracts with consultants and service providers in accordance with university policies. Financial & Revenue Management Oversee and manage the Museum's operating budget, including the development of annual and multi‑year budgets, setting revenue targets, and monitoring expenses. Maintain multiple accounts (endowment and specific purpose funds), monitoring expenditures and reconciliations. Prepare budgets for specific projects and grant applications; manage a general operating fund of approximately $2.5million. Authorize all payments and expenditures, ensuring compliance with university guidelines and policies. Conduct monthly financial reporting and analysis for the Director, including statistics on visitor surveys, admissions, memberships, and merchandise sales. Develop strategies for securing support from federal, provincial and private funding bodies; oversee grant writing, submission, and reporting. Partner with the Science Development Office for fundraising initiatives and donor stewardship. Oversee earned‑revenue activities, including the Museum Store, Admissions, Membership, and Facilities Rentals. Human Resources Provide leadership to approximately 46 staff and students and manage union and non‑union staff, resolving employment conflicts. Lead recruitment, training, discipline, and termination of staff in partnership with the Museum Director and Collections Directors. Advise faculty, management and staff on employment agreements and conditions of employment. Oversee performance review processes, develop and implement formal performance review procedures. Coordinate staff training programs and workshops; manage compensation matters and advise on salary administration including merit increases. Academic/Public Facility & General Administration Research and develop safety and security procedures for the Museum as a workplace and public facility. Oversee museum facilities with the Biodiversity Research Centre Administrator and manage special projects such as capital and improvement projects. Develop policies for facility/ground rentals by UBC units and the public. Resolve facility issues and liaise with Campus Planning, IT Services and related units. Manage space use and assignments within the museum building. Implement administrative policies and procedures for faculty, staff and volunteers. Represent the Museum on faculty, university and external committees. Manage retail functions of the Museum Store and Admission Desk, including inventory control and security. Minimum Qualifications Willingness to respect diverse perspectives, including those in conflict with one’s own. Undergraduate degree in a relevant discipline; graduate degree in Business Administration or Cultural Management preferred. Minimum of 5years of experience or equivalent combination of education and experience; relevant administrative experience including supervisory experience required. Knowledge of University policies, procedures, accounting principles and practices. Ability to interpret, develop and implement policies and procedures. Ability to establish and maintain effective working relationships with a variety of internal and external contacts and individuals of diverse backgrounds. Ability to efficiently organize multiple projects simultaneously, working under deadline pressures and budget limitations. Ability to identify, obtain and effectively manage organizational resources (people, materials, assets, budgets). Independent decision‑making skills with diplomacy and tact in sensitive situations. Ability to manage complex financial arrangements and design and implement financial models. Excellent oral and written communication skills. Knowledge of marketing, communications and business practices. Ability to effectively market, promote and sell products and services. Extensive experience with human resource and labour relations issues. Ability to work with, train and supervise staff, students and volunteers. Ability to motivate employees and work effectively both independently and in a team environment. Preferred Qualifications Undergraduate degree in a relevant discipline. Graduate degree in Business Administration or Cultural Management. Minimum of 5years of experience (or equivalent) in relevant administrative and supervisory roles. Knowledge of University policies and accounting principles. Solid policy development and implementation skills. Effective resource acquisition and management abilities. High-level independent decision‑making with diplomacy. Financial management and modelling expertise. Exceptional communication skills. Marketing, communications and business acumen. Experience in human resources and labour relations. Proficiency in staff, student and volunteer supervision and motivation.
