Executive Assistant (EA)
to support our executive team and help keep our operation running smoothly. If you're a self‑starter who can juggle calendars, kitchenware, and community management all in one morning—we want to hear from you.
Job Summary The
Executive Assistant (EA)
plays a critical role in ensuring the CEO and leadership team are organized, informed, and supported in day‑to‑day operations. This in‑house position requires someone with exceptional organizational skills, a positive attitude, and the ability to handle a wide variety of tasks—from managing calendars to making sure the kitchen is tidy.
You’ll report to the
CEO and Chief of Staff
and work cross‑functionally with the
Operations, Marketing, and Customer Service
teams. We’re a small but mighty team, so a hands‑on, get‑it‑done mentality is essential.
This
full‑time, in‑office role is based in Richmond Hill, Ontario , and requires someone with exceptional organizational skills, a positive attitude, and the ability to handle a wide variety of tasks—from managing calendars to social media to making sure the kitchen is tidy.
Key Responsibilities Executive&Administrative Support
Own the CEO’s calendar: schedule and confirm meetings, ensure participation, and manage daily and weekly agenda prep.
Proactively set up personal and health routines for the CEO.
Manage travel arrangements, reservations, and external appointments for the executive team.
Organize and manage the CEO’s email inbox: monitor, sort, and respond to emails as appropriate.
Review and respond to the CEO’s inbox (100+ emails/day) with accuracy, efficiency, and professionalism.
Draft, edit, and format internal and external communications and presentations.
Prepare reports, documents, and updates as requested by leadership, including weekly business performance report and pitch decks.
Upload receipts and track expenses in the company’s accounting software.
Maintain confidentiality when handling sensitive information.
Office&Reception Management
Act as front‑of‑house: greet and assist visitors or clients who walk into the office.
Coordinate and pick up team lunches as needed.
Maintain basic office supplies and ensure the space is welcoming and well‑organized.
Project, Marketing&Operations Support
Help track timelines and deliverables across ongoing projects.
Support customer service and production/fulfillment operations as needed.
Create and maintain SOPs (Standard Operating Procedures) for internal processes.
Assist with pulling data and assembling performance or operational reports.
Monitor and respond to social media comments and DMs in a timely, on‑brand voice.
Manage content calendars and support the creation and posting of content on LinkedIn, Instagram, and TikTok.
Flag any customer service issues or content trends to the Marketing and Customer Service teams.
Reply to customer reviews on Google and Trustpilot.
Support small‑scale marketing initiatives such as landing pages, social media campaigns, and email newsletters.
Qualifications
Strong proficiency in
Google Workspace
(Gmail, Calendar, Drive, Sheets).
High attention to detail, time management, and organizational skills.
Friendly, approachable, and resourceful attitude.
Excellent and professional written and verbal communication.
Ability to multitask and shift priorities as needed.
A natural problem‑solver who can anticipate needs before they arise.
Passion for pet health and nutrition— must love dogs!
