Role Description: Operations Administrator Reports To: Director of Operations Classification This is a permanent, full-time position primarily working Monday-Friday during normal business hours, with potential for further growth opportunities. Mission The Operations Administrator will directly support the Director of Operations and Executive Team, ensuring smooth execution of daily operations and administrative functions that contribute to the company’s operational excellence. This role has a significant impact on the company’s success, helping shape the way we work and creating a seamless operational experience for both internal teams and external client partners. Key Focuses o Plan, review and execute administrative and operational processes to ensure optimal efficiency and support throughout the company. o Provide assistance, conduct research, coordinate & organize travel, plan and record meetings & minutes, liaise with various vendors, answer general inquiries. o Lead the execution of company events & meetings, source office supplies, food & beverage, etc. o Provide Talent Development (HR) support and administrative functionality. o Provide secondary support for our Client Support and Accounts Receivable processes, including responding to client communication via phone and/or email as needed. Success Outcomes o Proactive, timely, effective administrative support to the Director of Operations and Executive Team, leading to demonstrated improvement in workflow efficiency and document management. o Reduction in administrative turnaround time and unresolved support issues o Increased culture of excellence and continuous improvement. Qualifications and Experience o Legally able to permanently work in Canada. o Proficient with Chat GPT, MS Office suite (Outlook, Teams, Word, Excel) and other business tools (Salesforce, SharePoint, Canva); experience with social media, particularly LinkedIn. o Current, unrestricted driver’s license, and valid passport to allow for international travel. o Knowledge of and experience in the aviation industry is an asset. o Diploma or bachelor’s degree in Business Administration preferred, and/or several years relevant experience. Compensation, Benefits, and Travel o Salary range of $68,000 - $78,000 annually, based on experience and qualifications, with opportunities for performance-based growth and advancement. o Benefits - Comprehensive package, including extended health care (with dental and vision care), Health Spending Account (HSA) and Lifestyle Spending Account (LSA), generous vacation, and a flexible, growth-oriented work environment. o Intermittent travel to attend meetings (primarily during the business week), up to 3-4 times annually, may be required (at Company expense). Employee Location & Hybrid environment o Metro Vancouver area preferred. o Work primarily remotely, with scheduled in-office collaboration 4-5 days per month at our (YVR) Vancouver Office (depending on proximity). o All necessary business tools, secure platform access, and required IT support are provided by the company.
