Job Overview We are seeking a dedicated and professional Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service and administrative support. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently in a quick-paced environment. Ability to communicate in both English and Mandarin is MANDATORY. Responsibilities - Greet and assist clients and visitors in a friendly and professional manner. - Manage multi-line phone systems, directing calls to the appropriate personnel while maintaining excellent phone etiquette. - Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date in our systems. - Handle clerical duties such as filing, typing, proofreading documents, and maintaining organized records. - Utilize Microsoft Office Suite and Google Workspace for various administrative tasks including document creation and scheduling. - Provide customer support by addressing inquiries and resolving issues promptly. - Assist with bookkeeping tasks as needed, including invoicing and managing accounts using QuickBooks. - Maintain a clean and welcoming front desk area to enhance the overall client experience. - Collaborate with team members to ensure smooth office operations. Qualifications - Previous office experience is nice to have - Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications. - Strong computer skills with the ability to learn new software quickly - Excellent organizational skills with the ability to multitask effectively under pressure. - Strong typing skills with attention to detail for accurate data entry and proofreading tasks. - Exceptional customer service skills with a friendly demeanor and professional appearance. - Ability to work independently as well as part of a team in a collaborative environment. - Previous experience handling front desk responsibilities or administrative duties is preferred.
