The Scheduler/Nursing Assistant (Administrative) reports to the Director of Care and is responsible for supporting the day-to-day administrative operations of the Home, with a focus on nursing administration (coordinating schedules for the nursing department, supporting internal hiring processes for nursing positions, assisting with payroll administration, maintaining accurate filing systems, and coordinating agency staffing as required). Position Status: Temporary Full-Time Contract (12 Months) This posting is for an existing vacancy. Responsibilities - Develop, maintain, and update daily and monthly schedules for nursing staff - Coordinate staff replacements for absences, sick calls, and leaves while ensuring appropriate staffing levels - Ensure scheduling practices comply with the Collective Agreement, applicable legislation, organizational policies, and operational requirements - Monitor and track staffing levels, overtime, and absenteeism; prepare related reports as required - Support internal recruitment processes and onboarding procedures - Maintain seniority reports and vacation entitlement records - Utilize scheduling and payroll systems effectively and troubleshoot basic system issues as needed - Provide support to staff with scheduling-related systems and processes - Assist in maintaining and improving scheduling and administrative systems - Complete and maintain accurate scheduling and payroll records for nursing staff - Provide administrative and payroll support to the Director of Care, Director of Finance, and Executive Director - Prepare and distribute departmental communications as directed - Maintain organized records management systems while ensuring data accuracy, confidentiality, and proper organization of employee files - Assist with reporting requirements, including staffing variance reports and performance indicators - Monitor scheduling and documentation processes to ensure accuracy, consistency, and compliance - Contribute to quality improvement initiatives and support audits and operational reviews as required - Work collaboratively with management and interdisciplinary teams to support operational efficiency - Participate in meetings and contribute to problem-solving initiatives and workflow improvements - Foster a professional, respectful, and team-oriented work environment - Perform other related duties as assigned Qualifications The ideal candidate will possess: - Experience using Staff Schedule Care or similar scheduling software is required - Experience in healthcare, long-term care, and/or information technology is considered an asset - High school diploma or equivalent (G.E.D.) with demonstrated skills in typing and basic mathematics - High level of comfort using digital systems - Proficiency in Google Workspace and Microsoft Office applications - Experience with IT support and basic troubleshooting - Strong and accurate data entry skills with exceptional attention to detail - Ability to interpret and apply Collective Agreements, policies, and procedures accurately - Excellent organizational and time management skills - Robust analytical thinking, problem-solving, and decision-making abilities - Strong written and verbal communication skills Onboarding Requirements - A current Vulnerable Sector Check (issued within the past six months) is required, or the successful candidate must be willing to obtain one prior to the start date - Proof of tuberculosis (TB) screening must be provided in accordance with Public Health requirements - Proof of required immunizations must be provided in accordance with organizational policies.
