This role will support day-to-day operational efficiency through the coordination of scheduling, communication, and customer service. Position Overview The Operations Coordinator & Dispatcher will serve as a central operational support role within the business, helping coordinate daily scheduling, customer communication, dispatching, invoicing coordination, and operational administration. This role acts as the operational hub between customers, drivers, and ownership, helping create greater consistency, communication, and operational flow across the business. The successful candidate will be highly organized, adaptable, customer-focused, and comfortable working in a fast-paced environment where priorities can shift throughout the day. This role provides an opportunity to become a key operational support position within the organization, supporting the coordination of daily operations and administrative activities across the business. Core Responsibilities Daily Operations & Dispatch Coordination · Answer and manage incoming customer calls and service requests · Triage, prioritize, and coordinate daily scheduling requirements · Dispatch drivers and communicate schedule updates throughout the day · Adjust schedules and routes based on operational needs, customer priorities, and unforeseen changes · Monitor daily workflow and help ensure jobs are completed accurately and efficiently · Support operational coordination between drivers, customers, and ownership · Assist in improving scheduling consistency and operational efficiency Customer Service & Communication · Serve as a primary point of contact for customer inquiries and scheduling requests · Provide professional and responsive communication by phone and email · Handle service-related questions, billing inquiries, and customer concerns · Maintain positive customer relationships through strong follow-through and communication · Escalate operational or customer issues appropriately when required Administrative & Financial Coordination · Support invoicing, payment processing, and administrative follow-up · Maintain accurate customer records, scheduling details, and operational documentation · Coordinate customer-sensitive payment follow-ups and collections communication · Support operational reporting and tracking requirements · Utilize QuickBooks or similar systems for administrative coordination · Maintain spreadsheets, operational logs, and related documentation Driver & Team Coordination · Act as a primary operational point of contact for drivers throughout the day · Process end-of-day updates and operational information from drivers · Support communication and coordination between field operations and administration · Build positive working relationships with drivers and team members · Contribute to a collaborative and team-oriented work environment Operational Awareness & Continuous Improvement · Learn and understand operational rhythms, customer requirements, and industry expectations · Develop familiarity with industry-related operational and regulatory considerations · Identify opportunities to improve workflow, communication, and operational consistency · Support ownership in reducing day-to-day operational pressure and improving visibility across operations Qualifications, Skills & Competencies Experience · Minimum 3–5 years of experience in dispatching, logistics, operations coordination, office administration, customer service coordination, or a similar operational environment · Experience working in a fast-paced, multi-priority operational setting · Experience supporting scheduling, customer coordination, invoicing, and operational administration · Experience within transportation, trucking, waste management, construction, or service-based industries is considered an asset but is not required Skills & Competencies · Strong communication and interpersonal skills · Highly organized with strong attention to detail · Ability to manage multiple priorities and adapt quickly to changing operational demands · Strong problem-solving and decision-making ability · Professional, approachable, and customer-focused · Strong computer skills, including Microsoft Office and Excel · Experience using QuickBooks or similar invoicing/accounting systems · Financial acumen and comfort managing invoicing and payment-related processes · Ability to work independently while collaborating effectively with the broader team · Strong judgment, accountability, and follow-through Compensation Compensation will be based on experience, qualifications, and overall fit for the role.
