Description The Animal Care Services Team in the Office of VP Research is currently seeking a Full-time Regular Standard Operating Procedures Coordinator. The Standard Operating Procedures Coordinator (SOPC) reports to the University Veterinarian through the Animal Health Unit (AHU) Director. Day-to-day supervision is provided by the AHU Director. The SOPC must work very closely with the University Veterinarian, Assistant University Veterinarians, Associate University Veterinarian and AHU Director to ensure the Animal Care and Use Standard Operating Procedures (SOPs) are current, accurate, and precisely represent the policies and acceptable best practice procedures of the University of Calgary Animal Care and Use program. The SOPC must interact effectively with the Animal Care Committees (ACCs), veterinary staff members, facility managers and technical staff to ensure that SOPs reflect the needs and uses within the ACCs and within the Animal Facilities. The SOPC must interact positively and effectively with the Institutional Animal User Training Program Coordinator to ensure that SOPs are useful within the context of the Animal User Training Program and as supplementary materials for education of laboratory personnel within Principal Investigator laboratories that use animals in research. Assists as needed in the delivery and administration of the Institutional Animal User Training Program and provides backup coverage for the IAUTP Coordinator. The SOPC position is key in developing and preparing SOPs as well as maintaining an up-to-date working group of those SOPs, including the accurate archiving of SOPs. These SOPs must accurately reflect the current and best practices utilized by veterinary staff, animal health technical staff, animal educational/training staff, research staff, Animal Care Committees, and the Office of the University Veterinarian. The SOPC will use the standard University of Calgary SOP format, electronic files (including digital and video imaging where appropriate) to develop excellent SOP materials for the Animal Care and Use Program. Summary of Key Responsibilities (job functions include but are not limited to) The SOPC will ensure that the University of Calgary Animal Care and Use Program Standard Operating Procedures are well composed, current, up-to-date, accurate, accessible, and maintained to the standards prescribed by regulatory agencies such as the Canadian Council on Animal Care (CCAC) and by the University Veterinarian and Animal Care and Use Program staff. Develops, updates and maintains comprehensive University Animal Care and Use SOP collection. Assists to identify and prioritize areas where further SOP development is required. Develops accurate and manageable storage and archive system for SOPs and manages a large repository of working documents that require constant revision and updates from multiple stakeholders. Communicates with stakeholders when SOPs are due for review/updates and notifies when SOP changes have been made. Works with Animal Care and Use Program staff to identify and develop tasteful digital and video supplementation of Animal Facility, Principal Investigator and Institutional Animal User Training Program (IAUTP) SOPs. Maintains Animal Facility management SOPs as supplied by Animal Facility Managers on the Animal Health Unit website. Updates, develops and maintains the Animal Health Unit website and SharePoint site including SOP materials, educational materials, ACC application materials, current and new events in Animal Care materials and other materials the University Veterinarian requires to provide information and communication to ACC members, animal users, Principal Investigators, students, staff and University Administration. Monitors the Animal Health Unit website and SharePoint site use through analytic tools to identify high-use pages, documents, etc. Provides support to Principal Investigators and the University Veterinarian in Standard Operating Procedures and management of Controlled Substance Licenses. Assists as needed in the delivery and administration of the Institutional Animal User Training Program and provides backup coverage for the IAUTP Coordinator. Assists in the administration and coordination of Authentic Education and Post Approval Assurance site visits including SOPs necessary to support these programs. Provides support for data entry and statistical analysis of Animal Health Unit Programs including the Institutional Animal User Training Program. Assists in tracking of training deficiencies identified on active research protocols. Qualifications / Requirements A strong background in animal care and use is required. A university degree in a biological science-related discipline is preferred. A graduate degree in a related discipline is an asset. Advanced, demonstrated senior-level administrative skills required. Strong verbal, written communications, and interpersonal skills to facilitate interaction with a variety of facility users is needed (fluency in English is necessary). Must be knowledgeable in literature search processes, reference/citation management, and academic writing. Must be knowledgeable of the Canadian Council of Animal Care, Alberta Veterinary Medical Association, and Health Canada rules and regulations. Exceptional interpersonal skills, judgement, and tact required to build and maintain positive relationships with research and staff stakeholders. Well-established technical expertise in computer use, including significant experience in a variety of programs, imaging, image handling and editing, webpage construction and design, word processing and presentation construction, database program use, multi-media experience, and others is required.
