Overview Senior Executive Assistant – Full-Time, Permanent. Location: EPCOR Tower, Edmonton, Alberta. Business Unit: Corporate Services. The Senior Executive Assistant provides high-level administrative, operational, and strategic support to one or more senior executives. This includes proactive management of executive schedules, coordination of meetings and deliverables, preparation of leadership and governance reporting, and effective liaison with internal and external stakeholders. The role handles sensitive information with discretion, manages competing priorities, and supports business-unit operations through efficient administration, documentation, and project coordination. The Senior Executive Assistant is accountable to the assigned senior executives within the organization\'s leadership framework. Responsibilities Provide dependable, high-quality, accurate, and timely support to the EVP in an efficient and qualified manner, including calendar management, travel arrangements, and expense claims processing while maintaining confidentiality. Prepare the Executive annual meeting calendar and deliverables. Organize annual and monthly meetings for the leadership team, prepare and distribute agendas and materials, identify key priorities and action items, and manage meeting logistics. Lead the preparation of monthly/quarterly reporting, track deliverables, set internal deadlines, proofread documents, edit and format materials, highlight gaps and priorities, and upload materials by deadlines. Coordinate events and recognition programs (Town Halls, milestone recognitions, Safety Summits, board/site visits) and site visits by EPCOR Executives or Board members. Manage and update content on executive and leadership SharePoint sites. Coordinate onboarding, office moves, organizational changes, and administrative transitions. Collaborate with EPCOR’s EA and administrative teams; provide mentoring and training for succession planning. Generate and maintain confidential files and correspondence; prepare presentations for committee and review meetings. Act as liaison between executives and internal/external stakeholders to support business priorities, events, programs, and site visits. Track and coordinate budget-related items, including expenses and reporting. Support strategic planning cycles, special projects, and ad-hoc initiatives as assigned by leadership. Demonstrate a high-performance, disciplined, safe, accountable, innovative, and results-driven approach to work. Experience & Expertise A minimum of 5–10 years of progressive administrative experience supporting a senior-level executive/director. Post-secondary education in Business Administration or related field is strongly preferred. Advanced technical skills in MS Office Suite, Oracle, SharePoint, and a strong aptitude for navigating evolving technologies. Proven ability to prioritize and meet deadlines; discretion and strict confidentiality. Understanding of business protocols and the ability to implement new procedures. Aptitude to mentor and guide others; commitment to customer-focused service. Ability to work with minimal supervision, showing initiative, judgment, and discretion with confidential information. Strong writing, research, and reporting skills; analytical, detail-oriented, flexible, decisive, and resourceful. More Information This is a full-time, Monday–Friday role (40 hours per week). Background checks and professional reference checks are required where applicable. A technical/practical assessment may be administered as part of the selection process. Travel within the Edmonton area may be required. A valid Class 5 Alberta Driver’s License is preferred.
