Description
We are seeking a detail-oriented and motivated Archives Clerk to join our team. The successful candidate will support the organization, preservation, and accessibility of archival materials in accordance with established policies and procedures. This role involves assisting with the processing, cataloguing, and maintenance of physical and digital records, responding to internal and external research requests, and ensuring accurate documentation and data entry. The Archives Clerk will work closely with staff to support daily archival operations, maintain filing systems, and uphold records management standards. Strong organizational skills, attention to detail, and effective communication are essential. Duties and Responsibilities: Archive Review and Organization -Work with our Executive Assistant and Fundraising and Marketing team to catalogue existing materials, including photos, documents, reports, newspaper clippings, videos, and memorabilia -Digitalize materials where needed (scanning, photography, labeling) -Organizing materials into themes, decades, or milestones based on the campaign needs Research -Identify and pull out key stories that reflect the organization's mission, growth, community impact, and evolution, including major events and people that have made the organization’s 100th year possible -Verify accuracy of dates, names, historic claims, etc. -Put together a well-crafted timeline for staff reference and for distribution to the public -Reach out to community partners, YWCA Member associations across the country, and our National Office to get a comprehensive view of our impact Content Development - Work alongside the Communications Specialist to draft compelling social posts, videos, e-letters, or blog pieces - Select compelling visuals from the archives to accompany each story to make it well-rounded - Identify key themes for the campaign that showcase our impact (housing, childcare, women’s empowerment, community support, etc.) - Meet regularly with the Fundraising and Marketing team and the Executive Assistant to provide ideas and suggestions on how to implement stories into our communications Qualifications: - Proven ability to catalogue, organize, and manage large volumes of historical materials - Skilled in digitalizing physical media, including scanning, photography, and digital labeling/filing - Ability to conduct deep-dive research to verify historical accuracy (dates, names, claims) and synthesize information into cohesive timeline - Experience working cross-departmentally - Robust writing and grammar skills - Ability to work independently. - Proficiency in Microsoft Office. - Satisfactory volunteer sector police clearance is mandatory. This position is funded through the Government of Canada's Summer Jobs program. To be eligible for this position based on the requirements from the Government, you must: - be between 15 and 30 years old at the start of job - be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the job and - be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulation (This includes having a valid Social Insurance Number at the start of the summer job) Start Date: May 19, 2026 If you meet the qualifications and are passionate about communications, we encourage you to apply for this rewarding opportunity!
