Job Description Job Summary Salary Pending Review Reporting to the Physician Recruitment Program Manager and working jointly with Niagara Region Economic Development and Niagara Health’s Medical Affairs team, the Physician Recruitment Coordinator will support family physician recruitment led by Niagara Region and hospital-based specialist recruitment for Niagara Health roles identified as critical areas of need. This role is designed to expand recruitment capacity, consolidate data into a single system, and strengthen collaboration between the Region, municipalities, and Niagara Health. The position will enhance Niagara’s ability to attract and retain physicians by coordinating candidate logistics, supporting site visits and onboarding, and maintaining the physician recruitment database. By supporting both community-based family physician recruitment and targeted hospital specialty recruitment, the role will directly support improved access to care for Niagara residents. Education - Post-secondary diploma or degree in Public Health, Business Administration, Health Administration, Human Resources, Marketing, or a related field, or an equivalent combination of education and experience. - Experience in recruitment coordination or talent acquisition support, preferably within healthcare or a regulated environment. - Strong organizational, communication, and interpersonal skills. - Familiarity with Ontario’s healthcare system, including community-based family medicine and hospital specialist recruitment pathways, is an asset. - Experience working with data management systems, CRM or ATS platforms, and reporting tools is an asset. Knowledge Responsibilities Candidate Coordination and Support (40% of time) - Coordinates candidate communications, interviews, and site visits for community-based family physicians and hospital-based specialists identified as critical areas of need. - Coordinates and supports interview logistics for Niagara Health specialist recruitment, including scheduling, preparation of materials, and initiating meetings for administrative purposes, while clinical leadership facilitates interview content and decision making. - Supports onboarding processes, including preparation of materials and scheduling of follow-up at key milestones (30/90/180 days). - Tracks candidate progress through recruitment stages and ensures timely follow-up. - Provides administrative and logistical support to the Physician Recruitment Program Manager, including scheduling and travel coordination as required. Data Management and Reporting (30% of time) - Maintains the Regional physician recruitment database, including information related to both family physician and specialist recruitment activity. - Tracks recruitment activity, sources of leads, candidate progress, and outcomes using approved systems and tools. - Prepares regular recruitment reporting, including weekly operational updates and quarterly summary reports, using validated Regional and Niagara Health data. - Ensures candidate records are accurate, complete, and compliant with privacy and confidentiality requirements. Partnership Support (20% of time) - Collaborates with Niagara Region, Niagara Health, and local municipalities to support aligned recruitment activities. - Provides logistical and administrative support to the Regional Physician Recruitment Committee and joint recruitment meetings as required. - Works closely with Niagara Region’s Economic Development Marketing team and Corporate Communications to support recruitment materials, toolkits, and outreach activities that position Niagara as a destination of choice for physicians. Events and Outreach (10% of time) - Provides logistical support for recruitment fairs, residency tours, and targeted outreach activities related to family physician recruitment and identified specialist needs. - Prepares materials and coordinates follow-up with prospective candidates. Special Requirements - In accordance with the Corporate Criminal Record Check Policy, the position requires the incumbent to undergo a Criminal Records Check and submit a Canadian Police Clearance Certificate. - Must maintain the ability to travel in a timely manner to other offices, work locations, or sites as authorized by the Corporation for business purposes. - Must comply with all applicable privacy, confidentiality, and information security requirements when handling physician recruitment information, including adherence to Regional policies and, where applicable, Niagara Health policies as outlined in the Memorandum of Understanding. - Regional staff strive to enable the strategic priorities of the organization through the completion of their work.
