Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, ensure seamless communication, and enhance overall efficiency. As an energetic and detail-oriented qualified, you will be the first point of contact for visitors and callers, manage administrative tasks with precision, and contribute to a positive workplace environment. Responsibilities - Greet visitors at the front desk with professionalism and warmth, providing excellent customer service - Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette - Handle data entry, filing, and document proofreading to maintain accurate records and organized files - Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for creating reports, presentations, and correspondence - Support calendar management and scheduling for meetings, appointments, and events with effective time management - Perform basic bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking - Assist with office management duties including supply inventory, maintaining cleanliness, and ensuring equipment functionality Qualifications - Proven office experience with strong clerical skills in a fast-paced environment - Proficiency in computer literacy including Microsoft Office Suite, Google Workspace, data entry, and general office software - Excellent organizational skills with the ability to prioritize tasks efficiently - Strong communication skills in both English and bilingual capabilities (preferred) to support diverse client needs - Experience with multi-line phone systems, front desk responsibilities, and customer support roles such as medical or dental receptionist is highly desirable - Demonstrated ability to manage calendar schedules, perform proofreading accurately, and handle confidential information discreetly - Personal assistant experience or medical receptionist background is a plus but not required Join us as an Administrative Assistant where your proactive approach and enthusiasm will make a meaningful difference every day!
