Role Description Reporting into the Regional Office Manager, East, the Office Services Assistant provides a wide range of administrative duties to support QuadReal Property Group offices. The role is suited to a service-oriented, resourceful, innovative, and positive team player with exceptional organization skills. Responsibilities Act as the first person of contact for guests, visitors, and employees, serving as a brand ambassador for QuadReal. Develop and sustain effective office procedures while fostering positive working relationships. Handle customer & tenant complaints and inquiries following company guidelines, procedures, and policies. Assist with maintaining the appearance of boardroom(s), kitchen(s), and common areas. Set up corporate training sessions, board meetings, and events, including catering, room reservation, printing, and acting as the main point of contact. Coordinate with Property Management to provide pass cards, elevator bookings, work permits, and various accesses as needed. Provide reception coverage during lunch, break periods, sick days and vacation days. Order office supplies and ensure proper working order of equipment, arranging repairs or servicing as necessary. Maintain meeting rooms with stationery, up-to-date resources and information, and keep rooms tidy and professional. Participate in health and safety activities, including training, checklists, and maintaining standards. Process invoices accurately and timely using the Yardi platform. Create, update, report, and maintain floor plans and seating arrangements. Participate and contribute to regular Office Services all‑hands meetings. Adapt flexibly to changing work priorities. Organize inclusive office socials and events. Perform other administrative responsibilities as required. Experience and Qualifications Two years of related administrative experience. Excellent oral and written communication skills. Ability to work independently and as part of a team, and to develop cooperative relationships with clients, tenants, and staff. Strong time‑management skills, work under pressure, manage tight deadlines, and handle multiple demands while adapting to new ideas and changes. Proficiency in Microsoft Word, PowerPoint, and Excel; advanced skills in spelling, punctuation, and grammar. Compensation and Benefits The expected annualized base salary range for this role is $45,000 – $50,000.
