A leading Canadian institutional investment organization is seeking an Administrative Assistant to join their Toronto office. This organization manages a large, globally diversified portfolio and is known for its stability, strong performance, and collaborative culture.

Your New Role
As an Administrative Assistant, you will provide high-level support to senior leaders and collaborate closely with a broader administrative team. This is a fast-paced, dynamic environment where you will be responsible for managing competing priorities and ensuring seamless day-to-day operations.
This is a hybrid position based in Toronto, requiring 4 days per week in the office. The role will begin as a 3-month contract with strong potential to convert to a permanent position.
Key Responsibilities
- Manage complex calendars and scheduling for senior stakeholders (Managing Director level)
- Coordinate domestic and international travel arrangements
- Prepare and process expense reports and invoices
- Provide proactive administrative support across multiple leaders
- Act as a key point of contact, maintaining professionalism with senior stakeholders
- Support team coordination and collaborate with other administrative professionals
- Handle confidential and sensitive information with discretion
- Assist with ad hoc administrative tasks and special projects as needed
- Help streamline processes and improve administrative efficiency
What You'll Need to Succeed
- 2+ years of administrative experience, preferably supporting senior leadership
- Strong proficiency in Microsoft Outlook, Teams, and Office Suite
- Experience managing calendars, booking travel, and handling expenses
- Excellent communication skills with a professional and confident presence
- Strong organizational skills and ability to multitask effectively
- Ability to work independently and take initiative
- High attention to detail and accuracy
Nice to Have:
- Experience in financial services, pensions, or asset management
- Familiarity with tools such as Microsoft Copilot
- Experience supporting multiple executives simultaneously
