Description
Job Description We are seeking a highly capable and resilient Executive Assistant (EA) to provide comprehensive support to a senior global leader in a fast‑paced, complex, and demanding setting. This role requires exceptional organizational capability, sound judgment, and the ability to operate with professionalism and composure amid competing priorities. What will you do? Executive & Calendar Management - Own and proactively manage a highly complex, global calendar across multiple time zones - Prioritize and sequence meetings to optimize executive time, balancing strategic priorities with operational needs - Anticipate scheduling conflicts and resolve them independently with strong stakeholder management Inbox & Communication Management - Manage a high‑volume executive inbox, including triaging, drafting responses, and flagging priority items - Act as a gatekeeper and facilitator of communication, ensuring timely follow‑ups and clear alignment - Track key deliverables, decisions, and action items coming out of emails and meetings Travel & Logistics - Coordinate extensive domestic and international travel, including flights, accommodations, visas, and detailed itineraries - Manage last‑minute changes and disruptions with agility and a problem‑solving mindset - Ensure all travel plans align with business priorities and enable executive productivity while on the road Stakeholder Coordination - Interface regularly with senior leaders, internal partners, and external stakeholders - Build robust working relationships to facilitate efficient scheduling, decision‑making, and information flow - Support preparation for key meetings, including materials coordination and briefing notes when required In‑Person Support - Provide an in‑office presence at the Toronto (TY) location approximately three days per week - Offer on‑site support when the executive is in office, ensuring smooth day‑to‑day operations - Coordinate logistics for in‑person meetings, including room bookings and on‑site readiness What do you need to succeed? - Proven experience supporting senior executives in a global, complex environment - Exceptional calendar and inbox management skills, with strong attention to detail and prioritization - Demonstrated ability to manage high‑volume, time‑sensitive work with professionalism - Strong judgment, discretion, and ability to handle sensitive information - Highly proactive, resourceful, and solutions‑oriented Personal Attributes - Calm, adaptable, and able to remain effective in a fast‑paced, high‑expectation environment - Comfortable managing competing demands and navigating shifting priorities - Strong interpersonal skills and confidence working with senior stakeholders - Able to receive and respond to feedback constructively while maintaining a high standard of execution - Highly reliable, responsive, and committed to excellence Working Model - Hybrid role with approximately three days per week in‑office (Toronto) - Flexibility required to support global schedules and time zones, including occasional early mornings or late evenings What's in it for you? - The opportunity to move along a variety of career paths with amazing networking potential - Flexible benefits from the day you join to meet the needs of you and your family - We’re committed to creating an inclusive and respectful workplace.
