Team members join a practice that values cultural diversity, clinical excellence, and compassionate service. Role Description This is a full-time, on-site Receptionist role based in Toronto, ON. The Receptionist will greet and check in clients, answer phone calls, respond to email inquiries, and schedule or modify appointments using the clinic's booking system. Responsibilities include handling patient intake forms, verifying insurance details when needed, and coordinating direct billing procedures with select providers. The role also involves processing payments, issuing receipts, maintaining organized records, and ensuring the reception and waiting areas are clean and welcoming. The Receptionist is also expected to demonstrate a proactive sales mindset — introducing clinic services and treatment packages to clients, encouraging return visits, and supporting service upselling where appropriate. The Receptionist will collaborate with practitioners to manage daily schedules, support clinic operations, and provide clear, professional communication to clients and team members. Qualifications - Strong customer service and communication skills, with the ability to interact professionally and empathetically with clients from diverse backgrounds. - Demonstrated sales or business development experience, with the ability to proactively promote clinic services, drive appointment conversions, and support client retention; background in retail, wellness, or service industry sales is an asset. - Proficiency in core receptionist duties and clerical skills, including scheduling, records management, and basic office administration. - Excellent phone etiquette, including answering calls promptly, managing multiple lines, and accurately relaying messages. - Comfort with office software and booking systems; ability to learn recent digital tools quickly. - Previous experience in a clinic, wellness, or healthcare environment is an asset. - Strong attention to detail, reliability, and ability to multitask in a busy setting. - Fluency in English required; additional language skills (such as Mandarin or Cantonese) are considered an advantage. - High school diploma or equivalent required; post-secondary education in administration, healthcare, or a related field is an asset.
