Our client in Vaughan, a successful and busy company in land development is seeking to hire an Executive Assistant.

Job Summary The Executive Assistant will play a crucial role in supporting the senior executives by facilitating smooth and efficient operation of the executive office. This role demands a highly resourceful individual with strong emotional intelligence, self-motivation, and superior organizational abilities. The Executive Assistant will be responsible for managing schedules, coordinating meetings, and handling daily administrative tasks.

Responsibilities

Oversee the calendars of senior executives, optimizing their time and prioritization of vital tasks.

Arrange all aspects of meetings, including scheduling, sending reminders, and organizing necessary materials.

Manage correspondence and coordinate incoming calls, ensuring high levels of discretion and confidentiality.

Assist in the preparation of regular reports and presentations.

Arrange travel logistics such as flight bookings, accommodations, and itineraries.

Maintain filing systems, ensuring information is kept confidential and easily accessible.

Aid in the management of projects, ensuring they meet timelines and budget requirements.

Qualifications

At least 3-5 years of experience in an administrative role supporting senior-level management.

Exceptional organizational skills and attention to detail.

Strong communication and interpersonal skills.

Proficient in MS Office and other administrative software.

Ability to handle multiple tasks while maintaining high levels of professionalism and confidentiality.
