Description
Our client is an established, privately owned Real Estate Development company located in North York. They are currently hiring a full time Personal Assistant to the President. The ideal candidate has expert level communication and organizational skills, is flexible to assume a wide range of personal support functions, and understands the importance of confidentiality and discretion. Responsibilities: The specific duties and responsibilities for this portion of the position include but are not limited to the following: - Daily personal support to the President; - Meeting and greeting guests on behalf of the President; - Managing appointments; - Personal shopping for the President and family for multiple properties and office as needed; - Assisting on managing all business and family travel planning including private plane charters, arranging flights and accommodations, managing security and ground transportation, preparing itineraries and liaising directly with pilots and private airport personnel and venues; - Managing personal and charitable donations – recording, tracking and sending of large volumes of cheques; - Preparing files and documents for weekly meetings & appointments; - Electronic and hardcopy filing and maintaining online system; - Managing mail and deliveries including recording, and tracking of personal events; - Manage all catering as needed including all lunch and dinner orders for office, events and meetings, communication with suppliers/vendors and ensuring the catering needs are always met when off-site; - Managing monthly expenses for multiple credit cards, including data entry, processing and reconciliation; - Collaborating with the VP of Administration with all charity and fundraising events as required, including on-site attendance when required; - Drafting correspondence sent to partners and businesses involved in company events; - Designing personalized invitations for charity and fundraising events used in correspondence to promote events; - Coordinating deliveries and managing off-site vendors at the Presidents various residences; - Couriers - sending out couriers and tracking all courier shipments and ensuring timely arrivals, preparing packages, envelopes, and labels for couriers (United Messenger, FedEx & DHL); - Boardroom and zoom link management for all meetings of the President; - Creating, printing, and saving labels; - Backup for Executive Services Team members when needed; - Out-of-office and remote work coverage – Backup for other Admin Team members due to vacation, remote work, appointments or illness including backup for the Presidents EA’s when working remotely, on vacation, or out of the office; - Other tasks as required. Experience: - Previous experience as Personal Assistant, Administrative Assistant or Executive Assistant supporting a C-Suite level Executive from a corporate fast-paced setting. - Collaborative team player with strong interpersonal skills. - Detail oriented self-starter with a high level of organizational and time management skills. - Excellent oral and written communication skills. - Demonstrated ability to manage confidentiality and sensitive issues. - Flexible, proactive and enthusiastic. - Advanced proficiency in MS Office.
