YQG - Executive Assistant to the Chief Executive Officer (CEO) Executive Assistant to the Chief Executive Officer (CEO) Executive Assistant to the Chief Executive Officer (CEO) Windsor International Airport (“YQG”) is currently recruiting for an Executive Assistant to the CEO to join our team. We are seeking a highly organized and professional individual with exceptional communication and administrative skills, strong discretion, and the ability to manage multiple priorities in a fast-paced environment. Reporting directly to the CEO of Your Quick Gateway (Windsor) Inc. (YQG), the Executive Assistant leads the administration of executive office operations, overseeing departmental systems and office services to ensure efficient, qualified, and seamless support for the CEO and Senior Management Team. General Responsibilities - Provide direct executive administrative support to the CEO, Directors, Board Members and Management team; - Manage complex and active calendars, coordinate appointments, and support scheduling for the CEO and Senior Management Team (SMT) activities; - Prepare, research, compile, and edit materials for reports, correspondence, presentations, meetings, and special projects; - Coordinate travel and conference arrangements, including agendas, itineraries, transportation, registrations, and expense reconciliation; - Conduct research, analyze data, legislation, and policy, and provide support with policy development, writing, and editing; - Develop, maintain, and organize departmental filing, records management, and bring-forward systems, ensuring timely follow-up on critical and time-sensitive matters; - Monitor CEO communications and correspondence to ensure appropriate action, follow-up; respond to routine matters independently and escalate issues requiring executive attention; - Respond to public inquiries, complaints, and action requests, directing matters to the appropriate Director or Manager as required; - Coordinate Board, Committee and Management meetings, including liaison with members, preparation of agendas, recording minutes, and tracking follow-up actions; - Ensure compliance with applicable bylaws, corporate governance requirements (including CBCA), and relevant Transport Canada regulations; - Serve as recording scribe during emergency response procedures and support emergency documentation requirements; - Research, monitor, and follow up on sensitive, confidential, and priority issues to ensure successful resolution; - Manage competing priorities, meet tight deadlines, and ensure projects and assignments are completed efficiently and accurately; - Provide administrative support as needed related to human resources matters, including recruitment, occupational health and safety, and labour relations; - Coordinate invitations, registrations, and attendance tracking for organizational social, educational, and professional events; - Operate office equipment, process incoming correspondence, and maintain accurate electronic and physical records systems; - Perform additional administrative and operational duties as assigned. Qualifications - Post-Secondary diploma or degree in Business, Finance, Human Resources, Public Administration - Minimum 3 - 5 years’ experience supporting a senior management position - Must have the ability to travel to offsite locations in a timely and expedient manner as required. If method of travel is by vehicle, a current, valid and lawful Driver’s License is required in accordance with the Highway Traffic Act and must provide a driver’s abstract as a condition of employment; - Must be both self-motivated and a team player; - Should have knowledge of the Occupational Health and Safety Act, its regulations and knowledge of the hazards associated with work; - May be required to lift up to 30 lbs; - Critical Incident Scribe certification will be considered an asset; - Strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail; - Advanced level of proficiency in office procedures, business writing and computer applications including Microsoft Office (Word, Excel, Outlook, PowerPoint); - Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members and external partners; - Strong written and verbal communication skills and have excellent public relations skills; - Highly resourceful team-player, with the ability to also be extremely effective independently; - Excellent organizational and multi-tasking capabilities; - Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response; - Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment; - Must be able to obtain a Transport Canada Security Clearance. Compensation This is a non-union position, and salary will be commensurate with the candidate’s qualifications and experience. The position offers a comprehensive benefits package, including vacation entitlement and sick leave provisions.
