About the Opportunity MARDA Management Inc is seeking a highly organized and experienced Maintenance Supervisor to oversee our maintenance department. We are looking for a long-term addition to our leadership team as we head into an exciting phase of refinement and growth. In this critical role, you will direct work order management, cultivate strong vendor relationships, and lead both on-site and off-site maintenance staff. If you possess exceptional leadership skills, a deep understanding of residential and multi-family maintenance, and a drive to meet and exceed KPIs, we want to hear from you. Key Responsibilities - Work Order Management: Oversee maintenance coordinators to ensure timely, accurate processing, scheduling, and approval of all work order requests. Conduct regular follow-ups to guarantee quality, ensure high customer satisfaction, and drive the team to meet or exceed established KPIs. - Vendor Relationship Management: Manage relationships with various contractors and vendors. Negotiate terms, manage contracts, and ensure high service and quality standards. Oversee exclusive vendor agreements, secure compliance documentation (business insurance, WSIB, trade licenses), and closely coordinate with vendors on large-scale projects. - Team Leadership & Supervision: Direct the performance of maintenance technicians, cleaners, and maintenance coordinators. - Ensure all repairs and turnover services meet quality standards and are executed cost-efficiently. - Provide regular feedback, execute timely performance management, and foster professional growth within the team. - Manage staff scheduling, manage time-off requests and ensure appropriate coverage is maintained at all times. - Financial Oversight & Category Leadership: Enforce company policies regarding project management fees for major projects. Closely monitor project budgets and costs to ensure profitability, collaborating directly with the accounting department for accurate financial reporting. - Communication & Reporting: Maintain clear communication with executive leadership. Contribute to daily morning meetings with Leadership and coordinators, as well as monthly on-site meetings with field technicians to ensure operational alignment and proper inventory management. Qualifications & Requirements - Experience: Minimum of 3 years of experience in property management maintenance, with at least 2 years in a direct leadership/supervisory role. Basic renovation or construction experience is a strong asset. - Education: A Bachelor's degree in a related field or proven working experience is preferred. Certifications in Property Management or Facilities Management are highly advantageous. - Skills: Exceptional communication, organizational, and negotiation skills. Proficiency in property management software and the Mac operating system, with a drive to learn and create new systems. - Attributes: Proactive, detail-oriented, and capable of making sound operational and financial decisions under pressure. A solid sense of responsibility and accountability is a must as well as the drive to communicate effectively with all stakeholders. Working Conditions & Physical Requirements - Hours: Generally 9:00 AM – 5:00 PM, Monday to Friday. Participation and stewardship of after hours on-call rotation, overtime may be required for emergency escalations or urgent project completions but this is only as needed. - Physical Demands: This position is primarily desk-based, but regular site visits are required within Windsor Essex and Chatham-Kent. This may involve walking properties, inspecting rental units, climbing stairs and access to a vehicle with full G license and proper insurance.
