Job Summary Operating out of our Fort McKay Incubator Park location, the Service Writer will be responsible for the coordination and communication of the maintenance shops with Management. The incumbent will provide daily scheduling, work orders, records, and process optimization to ensure the organization is supported by delivering a high‑quality service that meets the expectations and needs of internal and external customers.

Duties and Responsibilities

Oversee daily maintenance shop operations, ensuring a steady and even flow of work through the shop, taking calls from site and communicating with Shop Foreman and/or Maintenance Manager.

Assist with scheduling of Maintenance in the field and in the shop.

Maintain accurate records of all repairs and maintenance conducted.

Optimize maintenance department processes to ensure internal and external customer satisfaction.

Develop cost estimates, logging needed parts and the time needed for repairs.

Assist the Maintenance Manager and Shop Foreman with the scheduling of repairs.

Convey all necessary information regarding costs, parts, work and technicians to Shop Foreman and Maintenance Manager as it is received.

Create and update the work orders with the details of the job. Categorize the work orders by type/reason for repair.

Train technicians on the work order system.

Verify warranty and report to Manager when there is a potential for warranty coverage.

Coordinate between the shop and Parts Technician on the ordering and arrival of parts, staying up to date on delivery estimates.

Provide maintenance software system support: create and assign work orders, train users, identify and raise issues within the system.

Generate and provide reports to Management as required, including equipment downtime.

Identify deficiencies and correct them.

Promote a safe work environment by following safe work procedures and supporting the safety management system.

Maintain a clean and safe working environment.

Maintain company vehicle as required– fuel, oil changes etc.

Provide accurate data for reporting.

Assist with administrative work as required.

Assist the Maintenance Manager with other duties as assigned.

Skills and Abilities

Above average analytical and problem‑solving skills.

Excellent communication and organizational skills.

Strong organizational and time‑management skills with a high degree of accuracy and attention to detail.

Advanced technology user (Microsoft Office, SharePoint, TAG).

Reliable and dependable, willing to work overtime as required.

Ability to multitask to handle shifting and conflicting priorities, with multiple deadlines, in a dynamic fast‑paced environment.

Ability to work both independently with minimal supervision and within a team environment.

Demonstrate a personal commitment and positive attitude towards the team.

Ability to communicate and interact well with other employees and our customers.

Extensive knowledge of heavy‑duty mechanical work, with a focus on highway equipment.

Qualifications and Experience

3‑5 years Service Writer experience, or in a similar field.

3‑5 years of administration experience.

Previous experience and strong knowledge in heavy‑duty and automotive mechanics.

Minimum Class 5 license with a clean driver’s abstract required.

OSSA and CSTS certification.

Proficient with Microsoft Office programs.

Maintenance software experience an asset.
