Job Summary:

The Medical Receptionist is the focal point of communication for the primary care team and provides reception and clerical support to the staff and programs of the Community Health Centres of Northumberland (CHCN) with confidentiality being always the key issue. The Medical Receptionist is responsible for receiving Centre clients, volunteers, and guests. Duties include making appointments, monitoring clinician schedules, and providing a high standard of secretarial and administrative support to the primary care team.Service Responsibilities: Provide general reception services for the Centre (greet individuals and direct them to appropriate location(s), answers incoming calls, screens calls and directs calls appropriately). Create a welcoming and inclusive environment for clients and visitors. Respond to general inquiries, acquire services for clients (e.g. taxis) and provide information to the public and other agencies.Schedule appointments for primary care clients, and clients of other programs where appropriate or necessary. Answer queries from clients regarding appointments, programs offered, available services etc. Retrieve messages left on the general voicemail box and transfer or handle as appropriate. Complete the registration process for new clients, maintain accurate information about existing clients.Prepare new client charts, usually electronic and hard copy when necessary (i.e. prenatal and babies). Maintain an accurate and confidential filing system, electronic based and paper based when necessary (i.e. referral forms) Independently respond to both verbal and written inquiries. Prepare information requests, follow-ups, file reviews, and other general correspondence as appropriate or as directed by Medical professionals.Organizational Responsibilities: Adhere to the vision, mission, and values of CHCN. Commit to safe practices and work in a manner that demonstrates responsibility for following the Centre’s safe work standards, in compliance with the Occupational Health and Safety Act and Accreditation Canada.Take responsibility for and report any unsafe/at risk conditions or occurrences, keeping in mind the principles of the CHCN Just Culture. Communicate in a timely and positive manner with your supervisor regarding job content, specific objectives, and personal performance. Identify performance goals, objectives and learning needs.Identify job-related concerns in a timely manner in collaboration with your direct supervisor and/or the Office Manager (i.e. Human Resources) in order to seek a resolution. Seek to identify, respond, and/or resolve problems and be open to opportunities for innovation and quality improvement. Collect and report statistical (quantitative and qualitative) information as required.Incorporate and contribute to the Centre’s efforts for service excellence and continuous quality improvement by identifying, implementing, and evaluating standards, policies and practices to support best practices. Participate as a team member in staff functions: program planning, team and inter-team meetings, all staff meetings and team building.Perform other duties as assigned Professional Development: Maintains and develops professional competence through on-going professional development. Qualifications: College diploma (medical secretary program or business college equivalent) Ability to communicate and work effectively on a multidisciplinary team. Experience working with disenfranchised populations who are marginalized and have difficulty accessing primary health care would be an asset.Knowledge of community, the health sector including primary health care and Community Health Centers. Superior time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision. Able to work flexible hours as required.
