Reporting directly to the Chief Operating Officer, this leader serves as both a force multiplier for the COO and the enterprise's senior team accountable for operational excellence, program governance, and continuous improvement. In the Operational Excellence capacity, the role establishes the strategy, governance frameworks, and program management infrastructure that ensure all transformation initiatives are aligned with corporate strategic imperatives and delivered on plan. The role ensures clarity of vision, alignment of the leadership team, and disciplined execution of the COO's top priorities. The incumbent acts as a strategic integrator across the four COO direct-report functions — VP Clinical Services, VP Specialty Operations, VP Operational Excellence, and CIO — resolving cross-functional interdependencies, shaping communications, and driving accountability. A Day in the Life (What you will do here): Strategic Advisory & COO Support - Serve as a trusted thought partner and advisor to the COO (and ELT), providing insight and analysis on key decisions, priorities, and organizational challenges. - Coordinate strategic planning cycles; translate the COO's vision into actionable initiatives with clear owners, timelines, and success measures. - Prepare briefing materials and presentations for the COO's internal and external engagements (Board, Executive Team, manufacturer partners, all-hands). - Track progress against the COO organization's strategic priorities; surface risks, blockers, or decisions requiring COO attention in a timely manner. - Gather and synthesize insights from external conversations, market trends, and competitive landscape to inform COO and Executive Team decisions. - Apply evolving AI best practices. AI Literate and Proficient Leadership Alignment & Organizational Rhythm - Design and manage the operating cadence of the COO organization — leadership team meetings, quarterly reviews, strategic offsites — work with Exec Admin to oversee clear agendas, pre-reads, and documented outcomes. - Ensure follow-through on executive decisions; hold leaders across the COO organization accountable for progress against commitments. - Anticipate and resolve cross-departmental conflicts and interdependencies, aligning resources to the COO's top priorities before issues escalate. - Represent the COO in internal forums and working groups as delegated, with authority to commit to decisions within pre-agreed parameters. Execution & Program Management - Lead high-impact, cross-functional initiatives on behalf of the COO — including technology transformation, sustain CRM roadmap, work closely with Patient Support Program teams to apply operational enhancements, and cultural programs. - Track COO organization performance against KPIs and OKRs. - Identify operational inefficiencies across the COO functions and partner with leaders to drive process improvements. - Deliver COO-sponsored cross-functional special projects annually, on time and within scope. Communication & Change Management - Support communications and internal messaging for the COO (memos, town-hall materials, leadership updates). - Partner with HR and Communications to cascade strategy and reinforce organizational values across the COO organization. - Lead stakeholder engagement and change management during organizational transitions, ensuring alignment and buy-in across affected functions. - Oversee and coordinate organizational knowledge and documentation for the COO organization, including onboarding materials for incoming leaders. Operational Excellence — Strategy & Governance - Establish and maintain the strategic direction and multi-year roadmap for the Operational Excellence organization, including resource plan and annual budget. - Develop and enforce standardized tools, processes, and governance frameworks for project initiation, prioritization, execution, reporting, and closure. - Establish and chair steering committees or equivalent governance bodies with appropriate status reporting and decision-making authority. - Partner with internal stakeholders to gather business, data, and reporting requirements and translate them into a Transformation Roadmap. - Implement principles, policies, standards, and guidelines for Operational Excellence across the enterprise. - Monitor budget performance, track benefits realization, and recommend corrective action where necessary. Operational Excellence — Portfolio & Technology - Maintain an active portfolio view; ensure all projects are aligned with business strategic imperatives, regularly reviewed, and on track to meet their business case. - Make in-year resourcing recommendations to the Executive Team as required to meet corporate objectives. - Provide strategic and operational oversight of IT services and infrastructure in partnership with the COO, CEA, and CIO. - Stay current on industry, legal, and competitive trends; assess impact against corporate objectives and advise the COO accordingly. Talent & Leadership Development - Manage and develop a high-performing Operational Excellence team, including through internal and external recruitment, performance management, and coaching. - Work with HR to monitor COO organization team health, executive effectiveness, and succession readiness. - Mentor high-potential leaders and support talent development programs across the COO organization. - Surface organizational health issues proactively to the COO. General - Understand, perform, and manage all responsibilities in a manner consistent with Sentrex's
Mission, Vision, and Values. - Perform other duties as may be relevant to the role. What you need to ensure you are set up for success: - AI literate, proficient, and engaged in the external AI changing landscape, to apply and bring best practices to Sentrex. - University degree in Business, Project Management, Health Sciences, or a related program. - MBA or equivalent graduate-level education is considered a solid asset. - Minimum 10–15 years of progressive leadership experience, with at least 3 years in an enterprise-level operational excellence, strategy, Chief of Staff, or consulting function. - Proven ability to influence without direct authority across multiple senior stakeholders. - Demonstrated success leading complex, cross-functional transformation programs in a regulated Canadian healthcare or life sciences environment. - Experience in specialty pharmacy, technology transformation and Project management, healthcare distribution, or a Patient Support Program (PSP) context is a significant advantage. - Exceptional communication, synthesis, and storytelling skills — verbal, written, and visual — for senior and Board-level audiences. - High degree of discretion, emotional intelligence, and professional judgment in handling confidential and sensitive matters. - Experience in change management and organizational design is preferred. - Comfortable operating in ambiguity; able to shift fluidly between strategic thinking and hands-on execution. - Proven financial management skills within a strategic business mindset; ability to develop and manage significant budgets. - Familiarity with PHIPA, PIPEDA, and Protected B information handling obligations is considered an asset.
