Who We Are Looking For We are seeking a highly organized, professional, and detail-oriented Lead, Governance and Executive Operations Coordinator to support the delivery of effective and high standard governance and executive operations across the Club, with a strong focus on Board and Committee coordination, executive support, governance documentation, and communication. As the ideal candidate, you bring a strong governance and executive support background with a strategic, improvement focused approach to strengthening governance processes, supporting leadership and Board operations, and ensuring consistency across documentation, policy management, and communication. You are adaptable, flexible with shifting priorities, comfortable working independently under low supervision, and committed to confidentiality, sound judgment, and proactive support that strengthens governance standards and executive effectiveness. Ability to reliably commute to 44 Price St, Toronto, ON is required. Total Compensation Package Total compensation is valued at $100,573 and includes an annual base salary, group health perks, fitness reimbursement, RRSP, paid breaks, paid personal emergency days, daily staff meals, a career development fund, and a monthly cell phone reimbursement. Reports To: Chief Operating Officer Direct Reports: None Hours of Work 40 hours per week with scheduling flexibility required. Evening availability required for Board and Committee meetings. Experience Minimum 7+ years of experience in governance, executive support, or a similar senior administrative role. Experience supporting a Board of Directors, ideally within a not-for-profit environment. Competencies and Technical Skills - Ability to work independently with minimal supervision, demonstrating strong initiative, accountability, and decision making - Strong understanding of governance frameworks and policy development, with familiarity with Ontario Not-for-Profit Corporations Act (ONCA) considered an asset - Exceptional writing and editing skills, including Board materials, reports, and communications - Strong organizational, time management, and problem solving skills - High attention to detail and commitment to maintaining quality standards - Proven ability to manage confidential information with discretion - Strong communication skills, both written and verbal - Reliable, professional, and able to perform consistently in a dynamic environment Education and Credentials - Post secondary education in business administration, governance, or a related field - Governance certifications or familiarity with ONCA is an asset Key Responsibilities - Support the planning and execution of governance and executive operations aligned with Club standards - Coordinate Board and Committee meetings including scheduling, logistics, and preparation of materials - Prepare agendas, meeting packages, and governance documentation - Attend meetings and record accurate, high quality minutes - Maintain governance records, ensuring all documentation is current and properly stored - Provide executive support to the GM/COO including calendar management and meeting coordination - Prepare briefing notes, reports, presentations, and AGM materials - Draft, edit, and maintain governance and operational policies - Track action items and follow ups across Board and Committee meetings - Support governance compliance with bylaws, policies, and standards - Support Board onboarding and governance education initiatives - Coordinate governance related communications and documentation - Identify opportunities to improve processes and operational efficiency - Support Committees and governance related projects - Maintain clear communication with leadership, Board members, and stakeholders What a Typical Day Looks Like A typical day includes coordinating Board and Committee operations, preparing meeting materials, supporting executive priorities, and ensuring governance documentation is accurate and up to date. You will manage schedules, track action items, prepare communications, and support leadership with organized and timely information while maintaining high standards across all governance processes.
