Description
Job Description The EA will provide administrative support and coordination activities for a team of people, including 2 Vice Presidents. This role will have extensive knowledge of the job and policies/practices, and will be performing a wide range of advanced administrative/operational assignments. What will you do? - Manages and maintains calendars, coordinates meetings, conferences and travel arrangements for the Executive. - Acts as the Executive’s delegate for email during absences, handles and forwards issues, prioritizing for VP’s action upon return. Researches and responds to routine inquiries and requests. - Prepares material needed for daily schedules and meeting bookings. - Develops communications, meeting / conference materials, forms, documents, presentations, spreadsheets, and other record-keeping databases. - Coordinates and administers all requirements and maintains appropriate records in managing the department including preparing and verifying expense claims and invoices, monthly audit reconciliation of travel and other expenses, supplies, telecommunications, equipment and premises requirements, manages vacation tracking and producing / distributing monthly away lists. - Manages any ad hoc activities requested by VP, SVP, such as points awards programs, career conversations for enterprise programs, the team Connect site, and any new initiatives that the SVP participates in. What do you need to succeed? Must have: - 4+ years working with Executives (Vice President & above). - Technically savvy; highly proficient in Microsoft Word, Power Point, Excel, Outlook. - Excellent verbal and written communication skills. - Excellent interpersonal skills, diplomacy, tact, positive can-do attitude. - Outstanding time management and organization skills. - Experience with Concur platform.
