Kindercare Wellness is seeking a part-time office administrator to join our team! We are a private practice located in the heart of midtown Toronto, and we are affiliated with Kindercare Pediatrics, a reputable multidisciplinary pediatric clinic. At Kindercare Wellness, we are committed to providing high-quality evidence-based psychological and psychotherapeutic services and assessments to children, adolescents, adults, and parents. Expected Start Date - June 2026 Location - In-person (491 Eglinton Avenue W) Hours - Part-time - 3-4 days per week - 15-25 hours per week Qualifications/Experience/Skills - Relevant experience in office administration at a mental health clinic or other allied health professional clinic - Excellent communication skills in English (spoken, written, reading and comprehension), strong communication skills; ability to handle difficult client scenarios with the use of adequate interpersonal skills - Committed and reliable, friendly and caring personality; ability to display compassion and sensitivity to clients/families in a mental health clinic setting - Strong attention to detail - efficiently allocate cognitive resources and achieve thoroughness and accuracy on a day to day basis - Ability to work effectively independently and within a team - Demonstrates the ability to apply problem-solving skills - Strong computer literacy skills; previous experience with an Electronic Practice Management Software is an asset Duties/Responsibilities - Receive, triage and respond to incoming calls, email inquiries, and faxes - Know and be able to provide information about the clinic, the services offered, the clinicians, fees, payment modes, insurance coverage, waiting list, office hours and schedule, etc. - Conduct initial intake phone calls with clients and redirect them to other resources as needed - Preparation of the client for appointments (e.g. sending out appropriate paperwork, providing necessary information, answering any questions etc.) - Follow up with clients regarding outstanding payment, missing documents, etc. - Invoicing and collecting payment from clients - Daily admin tasks (e.g. printing, scanning, faxing, filing, etc.) - Appropriate usage of our Electronic Practice Management Software - Ensuring a clean and protected office environment by cleaning/sanitizing offices - Other duties as required Pay: $18.00-$21.00 per hour Experience - office adminstration: 1 year (required) Work Location: In person Apply on Kit Job: kitjob.ca/job/2pb9kc
