Job Title: Executive Assistant Company: ParagraphAI Inc. Salary: $50,000 starting base About the Role: ParagraphAI is a leading Toronto technology company looking for a sharp Executive Assistant to focus heavily on our sales operations and support our leadership team. While this role includes standard executive support, your core mission is to help build and maintain the engine that gets us in front of the right people, and then keep the pipeline organized so our team can close deals. You will own the operational logistics of our sales pipeline, though you should be comfortable picking up the phone for occasional cold calls or quick prospect follow-ups when needed. If you like building lists, keeping a CRM spotless, making occasional outreach calls, and ensuring nothing slips through the cracks, you will thrive in this role. What You'll Be Doing: Lead Generation & Outreach (Top of Funnel): - Finding Contacts: Building highly targeted lists of prospects using tools like Apollo or LinkedIn Sales Navigator. - Running the Campaigns: Loading those contacts into our email tools, launching campaigns, and keeping an eye on the numbers. - Direct Outreach: Handling occasional cold calling or phone follow-ups to qualify leads and secure meetings. - Inbox Management: Watching the replies. If someone says "no," you take them off the list. If they say "tell me more," you jump in and get them booked onto the executive calendar. Leadership Support & Deal Pipeline (Bottom of Funnel): - CRM Upkeep: Keeping our pipeline clean. Making sure meeting notes are logged and deals are moved to the right stage every day. - Keeping the Team on Track: Managing calendars and follow-ups. If a prospect is promised a proposal by Thursday, your job is to put a draft in front of leadership on Wednesday so nothing is forgotten. - Contracts & Paperwork: Prepping standard agreements and NDAs from templates, sending them out via DocuSign, and following up until they are signed. Who We're Looking For: - Comfortable with Tech: You should be totally fine jumping into CRMs, email sequencing tools, and basic automations. - Process-Oriented: You actually like checklists, clean data, and doing things by the book. - Phone & Written Confidence: You can write professional, natural-sounding emails and jump on a phone call with busy directors and executives without hesitating. - Adaptable: Things move rapid in a startup environment, so you need to be comfortable managing a few competing priorities at once.
